A transfer from a business till to a bank account is not a second customer sale. That sounds obvious until a learner imports both statements and records every credit as revenue. For ACCA students in Kenya, a mobile-money exercise is a practical way to separate the sale, receipt, wallet movement and bank settlement.
The amounts below describe an imaginary merchant. They are not Safaricom tariffs, current settlement terms or tax guidance. Safaricom’s business information explains that a Business Till can receive funds and support several kinds of business transactions, and that statement and reporting facilities are available. Your actual product and records must be checked separately.
Build a movement reconciliation before posting a difference
Start with a KES 12,000 till balance. During the day, customer receipts are KES 85,000, refunds are KES 3,000, explicitly stated fees are KES 500 and a transfer to the bank is KES 70,000. With no other movements, the expected closing balance is KES 23,500.
The calculation is opening balance plus receipts, less refunds, fees and transfers. If the statement shows KES 23,500, that proves agreement with these listed movements. It does not independently prove that every sale was genuine, every refund authorised or the sales ledger complete.
Match receipts to the sales records
Give each fictional receipt a transaction identifier and match it to the relevant order or sales record. A single customer payment might settle more than one invoice, while an invoice might be settled in instalments. Do not force the relationship into one receipt per invoice when the facts show otherwise.
Put unidentified receipts into an exception list for investigation under the business’s process. Automatically recording them as new sales could duplicate existing invoices. The reconciliation should explain the unresolved item, not hide it inside a miscellaneous revenue total.
Track the bank transfer across the two records
The KES 70,000 transfer reduces one business-controlled balance and increases another when received. If the bank statement records it the following day, retain the timing difference and check the later receipt. Do not manufacture an expense merely to force the balances to agree at midnight.
An unmatched transfer needs investigation: the date, destination, reference and supporting records matter. The right explanation cannot be selected from the amount alone. A timing item should have a review date, not remain indefinitely on a rolling spreadsheet.
Treat refunds and fees as different events
A refund needs a link to the original transaction and evidence of approval. A provider fee needs the relevant statement or charge record. Although both reduce the till balance, their accounting purposes differ. Combining them in a single “deductions” column may be convenient for a cash calculation but inadequate for reliable classification.
Avoid sharing real statements, customer telephone numbers or authentication details in a student exercise. Build a synthetic CSV with invented references. Checking your reasoning does not require access to a live business account.
Test the file with one controlled mismatch
Change the statement’s closing balance to KES 23,200. The KES 300 difference is not automatically another fee. Search for a missing, duplicated or incorrectly recorded movement, and show how the evidence determines the explanation.
For a stronger practice submission, provide three outputs: the balance bridge, the receipt-to-sales matching schedule and the exceptions log. Then explain what each output establishes and what it does not. That distinction turns a mechanical reconciliation into an accounting skill a reviewer can trust.
